Validate Your Data 5 videos
Balances You Can Trust Confirm each account's balance, terms, and credit limits came over right 4:40

The most important step before go-live: confirm each account's balance, aging, finance terms, credit limits, and tax-exempt status came over right, and flag anything that looks off for your Rundoo guide.

Right Cost, Right Count Check your products' costs, prices, and on-hand counts came over clean 6:08

Before go-live, spot-check a product you know cold: confirm its on-hand count, cost, and price levels came over right. Watch for the red flags, a $0 cost, a price tier that looks off, the same item listed twice, and flag anything that needs your Rundoo guide.

Match the Receipts Spot-check recent sales, confirm your tax rate, and catch duplicate accounts 3:51

The last step of your go-live data check: pull up your completed sales and match a handful against your paper receipts, confirm your sales tax rate is right, then scan your house accounts for duplicates and flag any for your Rundoo guide to merge. You don't need to check every one, just enough to trust the numbers.

Does It Scan? Make sure every item rings up as the right product, price, and unit 4:15

Before you go live, scan a handful of items the way you do all day and make sure each rings up as the right product, at the right price, in the right unit. Watch for a wrong price or a unit that's off, flag anything that looks wrong, and your Rundoo guide fixes it.

Straight to the Vendor Check each supplier's order email and account numbers so your POs land right 4:14

Before your first purchase order, spot-check your main suppliers: confirm the orders email each PO gets sent to, whether it's a connected supplier, and the account numbers for each location. Flag anything that's off and your Rundoo guide takes it from there.

Returns, Made Simple Pull up the original sale, and let Rundoo fill in the rest 2:20

Returns, Made Simple: pull up the original sale and Rundoo fills in the details, so a receipted return takes seconds.

No Receipt, No Problem Handle exchanges and no-receipt returns right at the register 4:20

No Receipt, No Problem: when there's no original sale to link, ring up an unlinked return, unlock the refund with a sale note, turn it into an exchange, and send the money back the right way.

Set Your Starting Cash Tell Rundoo the cash you keep in the drawer, so every close-out balances 2:13

Set Your Starting Cash: set each register's starting cash float in the admin settings, so the day begins from a known number and every end-of-day close-out lines up.

Counting Down the Drawer Log petty cash and close out the till at the end of the day 3:13

Counting Down the Drawer: log the cash you pull out as petty cash, count down the drawer at close, handle the normal small variance and the cash refund that trips people up, and head home with the numbers balanced.

Waive the Late Fee Void a finance charge so it comes right off a customer's balance 1:25

Waive the Late Fee: when you want to give a customer a break, find the finance charge, void it, and it drops straight off their balance. One note, it can come back on the next statement.

Two Ways to Pay Take part of a sale on one payment method and the rest on another 1:38

Two Ways to Pay: when a customer wants to put part on a check and the rest in cash, use Split Payment under the Sale button, and the receipt shows both payments.

Void It Clean Cancel an unpaid charge-account sale before any money changes hands 1:51

Void It Clean: find the charge sale under Completed, open it, click Void, add a reason and put the items back on the shelf. It moves to your Voided tab. You can only void a charge sale.

Credit Where It's Due Put a goodwill credit on a loyal customer's account 2:09

Credit Where It's Due: to thank a loyal customer, head to Receivables, Payments, enter the credit amount and check Credit to add. A missing note shows a red border. Choose Write off to record why, and the credit lands on their account. It is a goodwill gesture, not real debt.

We Can Get That Special-order any item, take a deposit, and close it out at pickup 4:46

We Can Get That: when a customer wants something you don't stock, flag the product as special orderable, then put the customer and product on a ticket. Decide how much of a deposit to take, collect it, and print the receipt. Place the order with your vendor, and when it comes in and they pick up, take the final payment.

Money Down on Anything Add in-stock items to a special order, take a deposit, and hand it over in pieces 4:56

Money Down on Anything: drop in-stock items right onto a special order, add a discount, and take a return, all on one ticket. Take a deposit, partially close out what the customer takes today, and charge the remainder when the rest comes in.

Group the Ticket Split one sale into named sets, each with its own total 4:27

Group the Ticket: split one sale into named item sets, each with its own total. Start a set and drop items into it, add a second set for another job, and whatever you add next lands in the active set. Put one item on both jobs, sell something for neither, and each group travels with the sale and gets its own section on the receipt.

Online Store 1 video
Your Store, Now Online Turn on online ordering so customers shop your catalog and pick up in store 8:14

Your Store, Now Online: turn on e-commerce, hide the products you don’t want online (with a little help from Dooey), and follow a customer order from your web store all the way to your counter.

Products 10 videos
Finding Products Fast Type, scan, or look up any product in seconds 2:55

Finding Products Fast: type a few letters, scan a barcode, or look up any product in seconds so the line keeps moving.

Four Fields to Sell It Add a new product and get it ready for the shelf 3:33

Four Fields to Sell It: a new shipment landed and you need it in the system. Hit Add product and fill just four fields to make an item sellable, set a price so it doesn't ring up at zero, then add a cost, a vendor, and a starting count. Rundoo blocks a duplicate primary ID, and Save and edit opens the full settings page when you want to add more.

How Many Do I Have? Check a product's stock, history, and reorder points 3:04

How Many Do I Have: open a product to see exactly where you stand. The History tab is the whole story, every count, sale, and receipt, and you can see stock by location plus on hand, on order, and committed. Set a min and max so Rundoo reorders for you, and fix an on-hand count right there when the shelf and the screen disagree.

Price It Your Way Set each tier by dollar, margin, or discount, and add volume breaks 5:52

Price It Your Way: open a product's pricing tab and read the grid at a glance. Set your retail price straight by the dollar, work up from your cost with a margin, or take a discount and round it clean. Your other tiers follow tier rules, add a volume break so bulk buyers get a better price, and set a custom price for one specific customer.

Pricing by the Group Build a tier, set the rule, and let each customer ring up at their price 4:20

Pricing by the Group: give different customers different prices without doing the math every time. See what a pricing tier really is and where tiers live, with Tier 1 Retail as your default. Build a rule-based tier, like 15% off all Benjamin Moore, and Rundoo always rings the lowest price. Put a customer on the tier, set it once, and it rings right every time.

One Tag, One Price Set one rule, and every product with that tag gets the discount automatically 2:49

One Tag, One Price: give one group of customers a special price without touching every product. Open your contractor pricing tier and add a rule for a single product tag, like 30% off your Tier 1 price. Save it, and every product carrying that tag rings up at the discount on its own.

Make It Behave Set how a product is taxed, categorized, and rung up at the counter 2:41

Make It Behave: open a product and go to Settings to decide how it acts. Fill in product info and extra IDs, sort it by department, class, and fineline, and add a fee if it needs one. Set its tax status or mark it single-use, flip the non-stock switch for things you do not count, and leave notes or a sale reminder for the counter.

Aisles, Shelves, and Bins Group every product so your reports, prices, and counts line up 3:46

Aisles, Shelves, and Bins: build the three levels of product categories, Department, Class, and Fineline, so every product sorts into the right group. Create each level in Admin under Product categories (Name is all you need, and you point a new department at a GL account), then tag a product with all three in its Settings tab, or do it in bulk with an import. Once your catalog is organized this way, your sales, inventory, and margin reports, your pricing tiers, and your cycle counts all line up.

Tags on the Shelf Print price labels and bin tags, one or a whole batch 3:46

Tags on the Shelf: keep the right price in front of every customer. Print just one label when a single price changes, run a whole batch when a shipment lands, or print everything on the screen at once. Filter down to a whole department when you are refreshing a section, and learn the one option you will reach for most.

Design Your Own Label Build a shelf tag with the fields, sizes, and look you want 4:13

Design Your Own Label: every store has its own look, so open the Custom Label Designer and make the shelf tag yours. Match the size to your real labels or set a custom size, turn on just the fields you want, move them around and make them bigger, and make the name bold. Save once, and it is ready for every cashier to print at the counter.

Setup 35 videos
On Sale This Week Run a percent-off or fixed-price sale that rings itself at the counter 8:03

On Sale This Week: run a sale in Rundoo and let the register do the math. Find promotions under Products, click Add Promotion, and set it up top to bottom. Name it so it reads clearly on reports and receipts, choose who gets the price, and pick the products by rules (a whole vendor, a department, or a product tag) or store-wide. Choose your discount, a percent off, a target margin, or a dollar amount, and which price tier it comes off, then set the start and end dates and the locations. Save it and it waits under Scheduled until it goes live. You'll also see the simple ways to handle a free-sample giveaway and a buy one get one with a $0 non-stock item you can report on later, how to change a sale that's already live and what stays locked once it's saved, and how pricing snaps right back to normal the moment the sale ends.

Gift Cards, Start to Finish Sell, redeem, and track every card from one screen 6:51

Gift Cards, Start to Finish: everything you need to sell and redeem store gift cards in Rundoo, all from one screen. Turn on the gift card tender, add a Gift Cards product and generate your card numbers, then save that spreadsheet somewhere you can find it. Sell a card like any normal sale and set its starting balance. Later, redeem it on a purchase, check what's left on any card by its number, and refund onto a card to keep that money in your store. And if a card is ever lost, deactivate it in a click: the balance is frozen but the history stays on the card.

Points and Reviews Track contractor loyalty and collect Google reviews 4:50

Points and Reviews: turn on two small settings that keep your best customers coming back. Flip on loyalty points in Admin under Communications so your contractors earn a point per dollar and see their running balance right in the Rundoo app, set your own policy and reset date, and know it stays separate from Benjamin Moore rewards. Then add your Google review link under Locations and Integrations so a "Review us on Google" button lands on every emailed receipt, one click for the customer to leave you a good review. Find your store's Place ID with Google's Place ID Finder, paste it into Rundoo (one per location), and ring up a quick test sale to see it work.

Follow the Money See each card sale reach your bank, and read the payout when it lands 4:44

Follow the Money: watch each card sale travel from your register to your bank, and learn to read a payout once it lands. The Stripe tab is your home base for card and ACH payments, connected for you at setup so there's nothing to configure, just a place to keep track. Open a payout to see why it's a batch of money and not one day's sales: a $100 sale on Monday and a $20 refund on Tuesday net an $80 deposit on Wednesday, minus the processing fees. Read the timeline, grab the payout trace ID your bookkeeper needs to track down a wire, and check the summary math. Then use the Payouts report to tie a deposit back to the sales that made it up, and when a payout is late or fails, see exactly where to look in Rundoo and in Stripe.

Send Stock Store to Store Move inventory between your locations and receive exactly what lands 3:22

Send Stock Store to Store: move your own stock between your own locations from POS under the Transfers tab, and keep the count right at both ends. Set up a transfer, search the product and see which store has it, pick how many to send, and Rundoo fills in the source and destination for you. Submit and send it on its way, watch it sit in Sent while it's in transit, then at the other store click receive when the box lands. The committed stock leaves the sending store and the on-hand climbs at the receiving store, so both counts stay honest.

Fees That Ring Themselves Delivery, eco, and PaintCare charges added automatically at checkout 4:54

Fees That Ring Themselves: set up the extra charges your counter needs, delivery, core charges, and state eco fees like PaintCare, so they ring up on their own. Build a fee in Admin under Product, give it a clear name, set a flat amount or a percent, point it at the right GL account, and choose whether it's taxable. Make a separate eco fee for each container size, attach the right fees to a product, and watch them add themselves at checkout. Waive one for a single sale with a discount and a sales note, and run the additional fees report to see the whole breakdown.

The Mistint Shelf Ring up store-use inventory at zero dollars, and hand your accountant a clean list 2:52

The Mistint Shelf: set up a store-use account that represents your own store, then ring mistints and internal supplies up at zero dollars. Add the store user, add the exact product and the tint it was mistinted to, edit the price to zero, and because the account is a charge account it settles the $0 invoice automatically. Your inventory stays honest and your accountant gets a clean list at tax time.

One Product, Every Unit Buy it one way, sell it another, and let the price follow along 6:57

One Product, Every Unit: set a product up to be bought, stocked, and sold in whatever units you use. Three steps, tell Rundoo every way you sell, how you stock this product, and how you sell it compared to how you stock it. Turn on decimal quantities, give every selling unit a conversion back to your stocking unit, set your defaults, then price it once and every unit's price follows along.

Open a House Account Add a customer and set them up to charge on their tab 2:52

Open a House Account: add a new customer with just a phone and name, set their pricing tier, then turn them into a charge account in Settings. Change the finance term to Net 30, set a credit limit, and they are on the books and ready to charge on their tab.

Their History, Their Balance See what a customer bought and what they still owe 2:26

Their History, Their Balance: when a customer calls asking what they bought or what they owe, pull up their account. The Transactions tab shows their whole history, filterable by job, PO, or date range, and you can send a summary on the spot. Contractors with a house account also get a Balance tab with aging, history, and statements.

Track It by Job Keep a contractor's projects separate on one account 2:33

Track It by Job: when a contractor has several projects running, open their Jobs tab and add a job, each with its own job ID. Tag each sale to a job right at the counter, and anything without a job just lands on their main account. Totals roll up per job, and you can close out a job once it's finished.

The VIP Treatment Assign a rep, keep notes, and set a customer's own price 3:06

The VIP Treatment: give your best customers white-glove service. On a customer's Relationship tab, assign them a point of contact and keep notes your whole team can see, then set them their own custom price that rings up automatically at the counter.

Set It Once Tune a customer's contacts, checkout rules, and tax so every sale rings right 3:43

Set It Once: open a customer's Settings tab to tune how they check out. Add contacts and pick who gets statements, keep a card or bank account on file, set a pricing tier and a reminder note, require a PO at checkout, or make them tax exempt. Each section saves on its own, so their whole account is set once.

Set Up a Supplier Add a vendor and set where your orders get sent 2:26

Set Up a Supplier: bringing on a new supplier takes a minute. Find Vendors, click Add Vendor, and all Rundoo needs to start is the name, then Save or Save and edit to add more. Make the Pay to name match your books, point the Orders email at where your POs should go, choose whether to attach the PO, and keep your rep on as a contact.

Draft Your Order Pick a vendor, let Rundoo suggest quantities, and save it for later 2:27

Draft Your Order: start a purchase order without committing to it. Head to your orders, start a new one, and pick a vendor. Add products and change quantities, or let Rundoo suggest the order for you based on what you need, while you stay in full control. Add a note and save it as a draft to finish later.

From Draft to Ordered Send it by EDI or email, or mark it ordered yourself 3:28

From Draft to Ordered: take a saved draft PO and place it with your vendor. Open the draft, adjust products and quantities, then pick your order method. EDI sends it straight into the vendor's system, email sends them a PDF, or mark it ordered to handle it yourself. Confirm the ship-to location, click order, and the PO moves into Ordered to wait on the truck.

Check In the Truck Receive what arrived and log the vendor's invoice 3:11

Check In the Truck: when the delivery shows up, find your order in the ordered tab and open it to drop into receiving mode. Check in what actually arrived against the PO, then log the vendor's invoice so your costs and quantities stay accurate.

OK to Pay Voucher a received order into a bill, then mark it paid 3:04

OK to Pay: once your stock is received, copy the invoice details and click voucher. Vouchering turns the order into an official bill in your books, and from there you can mark it paid so your vendor balance stays straight.

Clear Your Payables Settle your vendor bills, print a check, and fix a mistake 6:06

Clear Your Payables: open your Vouchered list and mark a bill paid, picking how the money actually moved. Print a check if you need one, log a non-PO bill like rent or utilities on the External register, void a sale rung to the wrong account, and fix a bill you already paid. And if a bill isn't paid yet, just revert the voucher.

In and Out of the Bank Pay vendors, pull funds in, and record every deposit 4:15

Every store owner asks the same money questions. Here is how money moves in and out of Rundoo: where your card sales land, paying a vendor with Send ACH, adding money to your account and your virtual card, and recording the cash and checks that come across the counter, all on the internal and external banking tabs.

Square Up the Invoice Add freight, fees, and discounts so your order total matches the bill 3:10

Square Up the Invoice: when the vendor's bill does not match your screen, fix it before you voucher. Correct a line cost the vendor billed higher, then add freight as one charge across the whole invoice, pick the account it posts to, and watch the total line up with the bill.

Group It, Find It Tag any product or customer, then pull up the whole group in one click 4:16

Group It, Find It: create a tag, give it a name, and choose whether it rides on products or customers. Attach it to a customer or to your inventory, then filter by that tag to pull up the whole group in one click. Your tags list is where you rename or clean them up, and remember that deleting a tag is permanent.

One Spreadsheet, Big Changes Export, edit, and import to update hundreds of records at once 4:33

One Spreadsheet, Big Changes: when you need to change hundreds of products at once, filter first, then download the spreadsheet. Make your edit across every row but never touch the Token column, save, and import the file back in. The confirmation box shows exactly what changes before you commit, with a safety net if you slip up. Same rhythm for customers and vendors.

What Prints, Who Signs In Dial in your receipts, surcharges, and register security 6:35

What Prints, Who Signs In: open Communications and Security to set the rules of your register. Choose what shows on receipts and how many print, set how long a quote is good for, and write your return policy. Add a card surcharge and mind the rules, then tax it and watch it land on a sale. Track loyalty points, then lock down the register: sign the cashier out after every sale, require a reason to void, and set your return defaults.

Ready to Bill Set your statement message, payment terms, and finance charges before the first run 5:39

Ready to Bill: dial in your statement settings before your first run. Write the message that prints on every statement, set the payment terms for your charge customers, and add an early payment discount if you offer one. Turn on finance charges for overdue balances and let Rundoo do the math, then set the handful of defaults that apply to every statement.

How the Bill Looks and Lands Set each customer's statement format, then mail it, email it, or charge it automatically 3:21

How the Bill Looks and Lands: dial in each customer one by one. Open a customer, find their statement settings, and set the format their statement takes. Then choose how it reaches them, mail it, email it, or let autopay charge their saved card automatically.

A Statement, On Demand Generate and send one customer's bill the moment they ask 3:53

A Statement, On Demand: when a regular calls and needs their statement right now, you do not have to wait for the monthly run. Find Statement Runs, generate a statement for that one customer on the spot, and send it their way.

Send the Whole Month Your monthly statements generate overnight, so all you do is review and send 3:17

Send the Whole Month: this is the scheduled run for all your charge accounts. Rundoo builds the statements overnight, so you just spot the ready-to-send banner on Customers then Statement runs, give the batch a quick look, send the emailed ones in a click, download the paper copies to print and mail, and click Complete when the whole month is out the door.

Reports That Answer Back Open a report, set the date and columns, and export what you find 2:40

Reports That Answer Back: when you have a question about your business, the answer is in your sales history. Find Report Builder, open the report you need, set the date range and the columns you care about, then export what you find.

Your Own Reports Build one, name it, and your whole team can run it again in one click 4:53

Your Own Reports: turn a question you ask all the time into a report you keep. Build a custom report, sort and shape it, then save it with a name that says what it does. Reopen it in one click, and because reports are shared with your team by default, anyone can run it or you can just send them the link.

Your Books, From Day One Set up your accounts, mapping, and cost method to match your accountant 3:47

Your Books, From Day One: set the foundation your books run on. In Admin under Chart of Accounts, see the standard accounts Rundoo starts you with and add your own, like a shop supplies expense, with a name, type, and number. Then in Mapping, point each kind of transaction at the right general ledger account, and in Company, pick your cost method (average cost for most stores). Get these three right and your reports line up with how your accountant already tracks things.

Read Your Financials P&L, balance sheet, and the general ledger 3:24

Read Your Financials: the three reports you'll use most, all under Admin then Reporting. Your profit and loss shows how you did over a stretch of time, your balance sheet shows where you stand on a single day, and the general ledger holds every line behind the numbers. Every number drills straight through to the transactions behind it, and the ledger exports to a CSV when your accountant asks.

The Back Office Set up your company, your locations, and your staff, once 5:21

The Back Office: step in to set the foundation your whole store runs on. Fill in your company's big-picture details, choose how you see margins with cost management, and set the tender methods customers pay with. Set up each location, where customer emails land, cash drawers, and out-of-town delivery taxes. Then add your staff and set permissions, including who holds the master key.

Count on Two Screens Set up on the desktop, scan the aisle with your phone, and true up your on-hand 6:54

Count on Two Screens: reconcile your on-hand without closing the store. Start a full or cycle count at the desk and build your count list, then walk the aisle scanning items on the Rundoo POS app on your phone. Back at the desk you review the variance, and the moment you complete the count your on-hand updates and the journal entry posts. Practice it in your training store first, then run it for real once you are live.

Reward the Sell Set a per-unit kickback, watch it accrue, and pay it out from a report 6:14

Reward the Sell: pay your clerks a per-unit kickback for moving the products you want to move. Head to Products, Spiffs to set one up by product or by a rule, with a unit of measure and a date window, and watch it accrue on each sale. Edit or deactivate a spiff any time, though changes are not retroactive. When it is time to pay out, pull spiff reporting by sales clerk or by vendor, and see who gets credit between the designated clerk and the original ringer.
